Privacy Policy

This policy explains how the Cox Green community website (“the site”, “we”, “us”) collects, uses and protects personal data, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
Cox Green is a community information site for the Cox Green hamlet on the West Sussex–Surrey border. For any question about this policy or your personal data, contact us at info@coxgreen.org.
What personal data we collect
We only collect personal data that you choose to give us. The main way this happens is the residents’ updates form, where we ask for:
- your name,
- your email address, and
- your connection to Cox Green (for example, your address or the road you live on).
We do not use cookies, analytics, or advertising trackers on this site, and we do not knowingly collect any other personal data as you browse.
Why we collect it and our legal basis
We use the information you provide to review your application and, if approved, to send you occasional updates about local planning, development and environmental matters affecting Cox Green. We process this data on the basis of your consent (Article 6(1)(a) UK GDPR), which you give by submitting the form. You can withdraw that consent at any time by contacting us; see “Your rights” below.
How your data is handled
When you submit the residents’ updates form, the details you enter are sent to us as an email by Resend, an email delivery service, and are then reviewed by hand before access is approved. The site itself does not store your submission in a database: the records we hold are that email and, once you are approved, your entry on the list of subscribers.
We keep that information only for as long as needed to manage the updates and to maintain an accurate list of subscribers, and we do not sell, rent or share it with third parties for marketing purposes.
Sending data outside the UK
Resend Inc. is based in the United States, and stores what it processes for us on servers there: the contents of the emails generated by the form, and the related delivery logs. Resend acts as our processor, meaning it handles that data only on our instructions, under a data processing agreement, and does not use it for its own purposes.
Because this means personal data leaves the UK, the transfer is made under the UK Addendum to the European Commission’s Standard Contractual Clauses, which forms part of Resend’s data processing agreement. Resend also participates in the EU–U.S. Data Privacy Framework. You can read Resend’s data processing addendum and its list of sub-processors.
If you would rather your details did not pass through a provider outside the UK, email us directly at info@coxgreen.org instead, and we will add you to the list by hand.
Data retention
We keep your details for as long as you remain subscribed to resident updates. If you ask us to remove you, or if updates stop being relevant to you (for example, you no longer have a connection to Cox Green), we will delete your details within a reasonable time.
Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct inaccurate or incomplete data;
- ask us to delete your data;
- ask us to restrict how we use your data;
- object to our use of your data;
- ask for your data to be provided to you in a portable format; and
- withdraw your consent at any time.
To exercise any of these rights, email info@coxgreen.org. If you are unhappy with how we have handled your data, you also have the right to complain to the UK’s data protection regulator, the Information Commissioner’s Office (ICO).
Children’s privacy
This site is not directed at children, and we do not knowingly collect personal data from children.
Changes to this policy
We may update this policy from time to time, for example as the site develops. Changes will be posted on this page with an updated “last updated” date.
